Green Room is a match-day management platform for sports organisers. It is operated by Studio Made Ltd. In this policy, “Green Room”, “we”, “us” and “our” refer to Studio Made Ltd.

2. What data we collect

We collect the following personal data when you use Green Room:

• Account information — your name, email address, and password when you create an account via an invite.
• Organisation details — the name of your club or organisation, if provided.
• Squad data — player names and squad numbers you submit as part of your team management responsibilities.
• Messages — messages sent through the in-app messaging feature between match organisers and team administrators.
• Usage data — information about how you interact with the platform, including timestamps of squad submissions and updates.

3. How we use your data

We use the data we collect to:

• Provide and operate the Green Room platform.
• Send you email notifications related to match administration, squad submissions, and messages from other participants.
• Allow match organisers and team administrators to coordinate effectively.
• Maintain an activity log for audit and accountability purposes.
• Improve the reliability and functionality of the service.

We process your data on the basis of legitimate interests (operating the platform and facilitating match-day coordination) and, where applicable, contractual necessity (providing the service you were invited to use).

4. Data sharing and third parties

We use the following third-party services to operate Green Room:

• Google Firebase — we use Firebase for authentication, our database (Firestore), and cloud functions. Data is stored within the European Union (europe-west1). Firebase is operated by Google LLC under the Google Cloud Data Processing Addendum.
• Mailchimp Transactional (Mandrill) — we use Mandrill to send transactional emails such as squad notifications and message alerts. Emails are sent from hello@greenroom.team. Mandrill is operated by The Rocket Science Group LLC (Mailchimp).

We do not sell your personal data to any third party. We do not share your data with any other party except as required by law.

5. How long we keep your data

We retain your account and match data for as long as your account is active or as needed to provide the service. If you wish to have your account or data deleted, please contact us at hello@greenroom.team and we will action your request within 30 days.

6. Your rights

Under UK and EU data protection law (UK GDPR / GDPR), you have the right to:

• Access — request a copy of the personal data we hold about you.
• Rectification — ask us to correct inaccurate or incomplete data.
• Erasure — ask us to delete your personal data.
• Restriction — ask us to restrict how we process your data.
• Portability — request your data in a portable format.
• Objection — object to our processing of your data where we rely on legitimate interests.

Green Room uses a secure, httpOnly authentication cookie to keep you signed in. This cookie is strictly necessary for the platform to function and does not track you across other websites. We do not use any advertising or analytics cookies.

We take reasonable technical and organisational measures to protect your personal data, including encrypted connections (HTTPS), secure authentication, and role-based access controls within the platform. Player and squad data is only visible to authorised users for the relevant match.

We may update this privacy policy from time to time. When we do, we will update the date at the top of this page. Continued use of the platform after changes are published constitutes acceptance of the updated policy.
